    Count no-shows and late cancellations together; both leave a slot empty. If you do not track the rate, pull two weeks of the schedule and count. Most dental, physio, med spa and home-service schedules run 8–20% before they fix it.

    Use the average collected per visit, not your highest service. For trades, use the average ticket for a scheduled call.

What no-show rate is normal?

Unmanaged schedules commonly run 10–20% for clinics and 8–15% for scheduled home-service calls. Practices with a signed policy, a reminder sequence and a waitlist typically hold 3–6%.

Should I charge a no-show fee?

A fee works when it is agreed in writing at intake, stated in one sentence, and enforced consistently. The fee's job is to make people call to reschedule, not to generate revenue; most well-run practices waive it the first time and enforce it the second.

How far in advance should reminders go out?

Two touches: 48 hours (long enough to refill the slot) and 24 hours (short enough to be remembered), each with an easy reschedule link or reply. A third reminder the morning of the appointment helps for procedures with prep.
