How to use it

    Add your business once

    Enter your business name, address, phone, email and license number. They are saved in this browser, so every new work order starts with your header already filled in.

    Describe the job and the site

    Give the order a number, the scheduled date and arrival window, the service type, priority and the assigned technician. Add the customer's contact details, the service address and access notes such as gate codes, pets or parking. Technicians lose more time to missing access details than to almost anything else.

    List the work, tasks, labor and parts

    Write what the customer asked for in their words, add equipment make, model and serial number if you have them, then build a short task checklist. Add estimated labor hours and parts. Untick “Show prices” for a field copy the technician carries without rates.

What is a work order?

A work order is the instruction to carry out a specific job: who the customer is, where the job is, what needs doing, who is doing it and when. It travels with the technician, records the labor, parts and findings, and is signed by the customer to authorize the work and again to confirm it is complete. The invoice is written from it afterwards.

What is the difference between a work order, an estimate and an invoice?

The estimate (or quote) is the price offered before the customer agrees. The work order is the job ticket once they have: it schedules the work, assigns it and records what was actually done. The invoice is the bill sent after the work is finished, usually built from the completed work order's labor and parts.

What should a work order include?

A unique work order number, the date issued and scheduled date, priority, your business details, the customer's name, contact details and service address, access notes, a description of the work requested, equipment details, a task list, labor and parts, the technician assigned, time in and out, findings and recommendations, and signature lines for authorization and completion.

Can I edit the work order in Word?

Yes. Download Word saves a standard .docx file that opens in Microsoft Word, Google Docs (upload it to Drive), Apple Pages and LibreOffice, so you can change the layout, add a logo or keep it as a master copy.
